Job Description
To provide administrative, operational, and documentation support to the logistics and transport department, ensuring smooth day-to-day operations, accurate records, and timely coordination between internal teams and external partners.
Key Responsibilities:
Administrative Support:
Maintain accurate records of shipments, deliveries, and inventory.
Prepare, process, and file transport and logistics documents (bills of lading, invoices, waybills, etc.).
Assist in scheduling and tracking of deliveries and dispatches.
Coordination & Communication:
Coordinate with transport staff, warehouse teams, suppliers, and clients to ensure timely operations.
Serve as a point of contact for internal and external stakeholders for logistics-related queries.
Follow up on pending deliveries, returns, and approvals.
Data Management & Reporting:
Update and maintain logistics databases and ERP systems.
Generate daily, weekly, and monthly reports on shipments, inventory status, and operational KPIs.
Identify discrepancies in records and report to management for resolution
Compliance & Documentation:
Ensure adherence to company policies, legal, and regulatory requirements in all logistics documentation.
Maintain proper filing and documentation for audits and inspections.
Monitor transport documentation for accuracy and completeness.
Process Improvement:
Suggest improvements in back-office operations to enhance efficiency.
Assist in implementing digital tools for tracking, reporting, and communication.
